Each organization has a specific data request process. Most often this involves submission of an inquiry that would need to be supported by hospital or departmental leadership. It is a good idea to schedule a meeting to discuss the project and its intent with your supervisor and any additional leadership who could assist you in this approval process. Using knowledge of your organization, assess the program area and determine final specifications, documents, and approval. For example, consider how screening is accomplished in the outpatient setting, the emergency department, and the inpatient setting. Is the same tool used in each of these settings? If the information cannot be obtained in one setting, but the patient moves to another setting, is the information captured there? Do different providers document in different reporting areas or do they link together?
Some organizations request the signing of a non-disclosure/confidentiality agreement for third-party data requests. Pursuant to Section 160.007 of Texas Occupations Code, Texas Health & Safety Code 161.032 and 42 USC Sec. 11101 et seq ST5066, any information provided would be kept confidential and review by this quality improvement committee.

Once the data request has been submitted with all of the necessary documents and approvals, the time it takes to compile the data varies depending on the complexity of the request. Requests can be completed in days, weeks, or months, depending heavily on the size and scope of the project and on current backlog of the organization.
